Purpose of Job
The Warehouse and Parts Counter Administrator is responsible for procuring, supplying and selling spare parts within the Group, entailing trucks and trailer parts, motorcycle parts, lubricants, tooling and all other automotive related equipment. The person holding this role is accountable for the Parts administration, stock and inventory management controls, whilst optimizing processes in order to ascertain efficient and successful operations.
Core Tasks

  1. Manage, maintain and actively contribute towards an effective and efficient Spare Parts department;
  2. Follow-up and resolve customer requests and complaints;
  3. Deliver high levels of service to internal and external clients, ensuring that all needs are met within appropriate timeframe, whilst keeping informed the stakeholders involved of delays and other issues which may arise in the course of a transaction;
  4. Conduct physical stock taking; ensure all system stock levels are accurate and discrepancies resolved;
  5. Ensure that spare parts obsolescence is minimum and as per budget provisions;
  6. Ensure all incoming parts are checked for conformity including pricing, and return any non-conforming or damaged part requesting replacement or credit;
  7. Ensure that parts are stored correctly so as to prevent damage and losses;
  8. To register / bar code all available parts on the system and manage inventory control and proper stock levels;
  9. Manage and review departmental expenses to ensure appropriate use;
  10. Develop and administer efficient billing, costing and discount procedures;
  11. Building strong relationships with manufacturers, vendors, service providers and parts suppliers;
  12. In liaison with the marketing team execute a Spare Parts marketing plan;
  13. Ensure that all direct reports are properly trained;
  14. Ensure that security measures are implemented and observed to prevent theft and losses;
  15. Submit all parts warranty and return claims with the required timeframe to receive maximum credit;
  16. Prepare periodic and ad hoc reports concerning stock levels, consumption, inventory reporting, fill rate, and orders according to needs and requests;
  17. Work closely with management to determine the objectives/targets to the Spare Parts team;
  18. Manage and lead the direct reports ensuring the proper execution of responsibilities and assignments;
  19. Follow workplace procedures and instructions to achieve clean well organized warehouse areas that adhere to occupational health and safety practices;
  20. Perform other related duties as required.

Qualifications & Experience
• A secondary level of education in technical or related field;
• A minimum of two years’ experience in spare parts, inventory and warehousing management roles.

  • Fluency in English and Italian both orally and in writing;
  • Computer literate and familiar with inventory control mechanisms;
  • Knowledgeable about truck and trailer parts, automotive accessories and tooling industry;
  • Ability to multi-task while maintaining individual customer satisfaction;
  • Capable to apply and document stock, inventory and spare parts best-practice applications;
  • Proactive to solve problems: possessing analytical skills with a continuous improvement mentality;
  • Excellent communication, organisational and interpersonal skills;
  • Capable to work independently and concurrently leading the Spare Parts function including personnel.
